Aramar Tips: The Benefits of Using IBM Controller Web for Data Import via Import Specifications

Import specification and its usage of lookup tables for the import of data into IBM Controller is a method of functionality that is common to both IBM Controller Classic and IBM Controller Web.  This article explains the difference between the two tools.

This article highlights the features and benefits of using import specifications within Controller Web only. The configuration and usage of import specifications within Controller Web being separate to its namesake within Controller Classic.

    General Benefits  #

Import specification and Lookup table configuration within Controller Web is very straightforward.  It is also based on an expectation of the data file being presented for import being not overtly complicated, which contrasts to the feature rich approach adopted for import specifications within Controller Classic.

Such simplicity of design should then enable local users, if not the system administrator, to own the build and maintenance of this data load functionality.

There is also the option to import against files of either CSV or XLSX definition. For Excel files this means that files containing multiple tabs can be accepted by Controller Web, the content for import sitting against the front worksheet.

Users can also easily export lookup table content, then re-import to Controller Web when edited and complete for new processing.

    File Processing  #

To help a user complete data load and resolve any issues encountered with file import, the following features apply with Controller Web:

    1. Review of Errors for Mapping  #

A list of mapping errors will be displayed for any dimensions (e.g. Accounts, Counter Companies, etc) that are in the data file being loaded, but not yet mapped in the Lookup Table(s) referenced for loading against. An error finding that is also interactive. The user can add reference for where the mapping error should be imported, with this update being recorded to the Lookup Table(s) for future usage, thus avoiding future repetition of the same issue.

    2. Review of Errors for Other #

Data rows with incorrect or missing dimensions will be listed and highlighted red. In the example below the counter company is not a recognised company within the company structure.

    3. Import Preview #

The Import Preview tab confirms how many rows have been read, how many rows discarded (e.g. Headings), plus how many companies and entries per company imported.

Lastly, there is a presumption in this article of the user being comfortable with the configuration of import specifications within IBM Controller Web, this largely based on the user-friendly basis by which this module is presented.

IBM guidance or support notes are however available on this topic.

Not sure whether Controller Web import specifications are right for your setup?

We’re always happy to talk it through.
